Core Database and Accounting

Without your customers and what they buy from you there is no business and so at the core of the Freetime system is its Customer Database and Accounting System.

Freetime implements all of what it does by establishing who the customer is for a particular transaction and then basis all if what it does and what it allows on what it knows about that customer. Is the customer a member, an agent, a visitor or staff? Are they male or female? Does the customer have an account or do they pay as they go?

Freetime builds its database of customers as it goes and then allows you to make best use of that database in a myriad of ways. You can send mass emails based on a variety of selection criteria such as customer type, age and gender. You can quickly and easily print mailing labels or form letters for similar selections. You can use integrated facilities to make a phone call or send a text message or an email to a customer from the database with minimal effort.

Every customer can be assigned a unique identifier (such as a membership or card number) which can be used to find them instantly from the database. Even without this, searches of the database are designed to be quick, easy and intuitive to ensure that if a customer is known to the system then those details can be retrieved, modified if needed and then reused without having to capture them all again.

Every transaction in Freetime is associated with a customer record. By doing so the system can produce powerful managment reports that can analyse the transaction data in an almost infinite number of ways.

One of Freetime greatest strengths is its robust accounting procedures that deliver a clear audit trail that cannot be tampered with by anyone within the organisation. Every sale and every receipt and every subis accounted for.

Freetime has been designed to handle every trasaction with your customer. It produces receipts and invoices where they are needed and produces a full VAT analysis for your accounts.

The reporting systems and structures are configured to ensure that period reporting produces the information needed to ensure that only the minimum amount of postings are needed to update mansgement accounts in the knowledge that the underlying detailed information can be quickly and easily analysed in Freetime in ways that the management accounting system can't possibly match.
